Because our services involve custom planning, design, development, technical setup, and time invested from the beginning of a project, this Refund Policy explains when refunds may or may not be available.
By purchasing a service, making a payment, or engaging us for a project, you agree to this Refund Policy.
1. Our Refund Policy
Our services are custom digital services. Unlike physical products, custom website design, development, automation, and AI work cannot simply be returned once work has started.
Every project may involve:
- Consultation and planning
- Research and discovery
- Design concepts
- Technical setup
- Development work
- Testing
- Communication and project management
- Use of professional time and resources
For this reason, refunds are reviewed fairly on a case-by-case basis, depending on the project stage, work completed, payments made, and the reason for the refund request.
Our first priority is always to resolve the issue professionally. Where possible, we may offer revisions, corrections, rework, or service credit before issuing a refund.
2. Non-Refundable Deposits
Most projects require a deposit before work begins.
Deposits are generally non-refundable because they reserve your project slot and cover initial work such as planning, consultation, research, onboarding, and project preparation.
A deposit may cover:
- Reserving time in our work schedule
- Initial consultation
- Project planning
- Research
- Design direction
- Technical planning
- Account setup
- Project management
- Administrative work
If you cancel the project after paying the deposit, the deposit will not normally be refunded.
Before making a deposit payment, please make sure you are ready to start the project and have reviewed the project scope, pricing, and requirements.
3. Refunds by Project Stage
Refund eligibility depends on how much work has already been completed.
Before Work Begins
If payment has been made but no consultation, planning, research, design, setup, or development work has started, we may offer a partial or full refund after deducting any payment processing fees or administrative costs.
Discovery or Planning Started
If we have completed consultation, planning, research, sitemap planning, content review, or technical planning, a partial refund may be considered. The amount will depend on the time and work already completed.
Design Work Started
If design work, wireframes, layouts, mockups, branding direction, or page concepts have been created, only a limited partial refund may be considered.
Development Work Started
If development, website build, coding, automation setup, CRM setup, chatbot setup, integrations, or technical implementation has started, refunds are usually limited or not available.
Project Delivered
Once the project has been delivered, launched, handed over, or made available for review, refunds are generally not available.
Project Accepted or Live
If the website, portal, chatbot, CRM, or automation system has gone live or has been accepted by the client, refunds are not available.
4. Website Design and Development Refunds
For website design and development projects, refunds are not available for completed work, approved work, or work already delivered.
A refund will not normally be provided if:
- You change your mind after work has started
- You no longer need the website
- You choose to work with another provider
- You dislike a design after approving the direction
- You delay the project by not providing content, feedback, or access
- You request features outside the original scope
- Your business circumstances change after the project begins
- You expected sales, traffic, leads, or rankings that were not guaranteed
We do not guarantee specific business results, such as sales, website traffic, Google rankings, leads, conversions, or revenue, unless separately agreed in writing.
5. AI Chatbot, CRM, and Automation Projects
AI chatbot, CRM, and automation projects require technical planning, testing, integrations, and custom setup. These projects may involve third-party tools, APIs, and business-specific workflows.
Refunds are generally not available once development, configuration, integration, or testing has started.
Refunds are not available if:
- The automation or chatbot has already been built
- The CRM or portal has already been configured
- The client changes requirements after development begins
- A third-party platform changes its pricing, API, rules, or availability
- The client does not use the delivered system after completion
- AI output does not meet expectations that were not agreed in the project scope
- The client fails to provide required access, content, data, or instructions
AI systems may depend on third-party platforms such as OpenAI, automation tools, messaging platforms, CRMs, hosting services, or APIs. We are not responsible for refunding fees due to changes, outages, restrictions, or pricing updates from third-party providers.
6. Maintenance and Retainer Services
Website maintenance, monthly support, CRM support, and retainer services are usually billed in advance.
Monthly Plans
Monthly plans are non-refundable once the billing period has started because time and resources are allocated for your account at the beginning of the period.
You may cancel your monthly plan before the next billing date by giving written notice.
Quarterly or Annual Plans
Quarterly or annual plans may be reviewed for partial refund only if cancellation is requested early and no significant work has been performed. After the service period has started, refunds are generally not available.
Unused Hours
If your plan includes monthly support hours and you do not use them, unused hours do not automatically roll over and are not refundable unless stated otherwise in your agreement.
7. Digital Products and Templates
If we sell digital products such as website templates, Elementor templates, UI kits, automation templates, or downloadable files, refunds are generally not available after the product has been downloaded, accessed, or delivered.
A refund may be considered only if:
- The product is materially different from its description
- The product is broken and we are unable to fix it
- Access was not provided due to an issue on our side
- A duplicate payment was made by mistake
Refund requests for digital products must be submitted within 7 days of purchase.
8. Third-Party Costs
Some projects may require third-party products or services. These costs are non-refundable once purchased, activated, registered, or paid.
Third-party costs may include:
- Domain names
- Hosting plans
- Premium WordPress themes
- Premium plugins
- Elementor Pro or similar licenses
- Stock images, videos, or graphics
- Font licenses
- API subscriptions
- AI tool credits
- CRM or automation tool subscriptions
- Payment gateway fees
- Email, SMS, or WhatsApp service costs
- Rush delivery fees
If we purchase any third-party item on your behalf, we will aim to inform you before purchase where practical. Third-party purchases are subject to the refund policies of those providers.
9. When You May Qualify for a Refund
You may qualify for a full or partial refund in limited situations, such as:
- We have not started any work after payment
- You were charged twice for the same service by mistake
- We are unable to deliver the agreed service after reasonable time and communication
- The delivered work is materially different from the agreed scope and we are unable to correct it
- A critical technical issue caused by our work prevents the project from functioning and we are unable to fix it within a reasonable time
Refund eligibility depends on the facts of each case and the amount of work already completed.
10. What Does Not Qualify for a Refund
Refunds will not normally be provided for:
- Change of mind
- Business closure or change in business plans
- Delay caused by the client
- Lack of content, access, or feedback from the client
- Dissatisfaction after approval of design or project direction
- Requests outside the agreed scope
- Completed and delivered work
- Services already used
- Third-party costs
- Platform or hosting issues outside our control
- Marketing performance expectations not guaranteed by us
- Client changes that break the website, portal, chatbot, or automation
- Failure to maintain the website after handover
11. How to Request a Refund

- Any supporting evidence, screenshots, messages, or details
We aim to acknowledge refund requests within 2 business days and provide a response within a reasonable timeframe after reviewing the request.
If approved, refunds are usually processed to the original payment method where possible. Processing times may depend on your bank, payment provider, or payment method.
12. Revisions, Rework, and Service Credit
Before issuing a refund, we may offer a reasonable alternative solution, such as:
- Fixing the issue
- Revising the work
- Reworking part of the project
- Providing additional support
- Offering service credit
- Adjusting the project scope
Our goal is to resolve problems fairly and professionally while respecting the time and work already invested.
13. Chargebacks and Payment Disputes
If you have a concern about a payment or project, please contact us first so we can try to resolve the issue directly.
Filing a chargeback or payment dispute without contacting us first may result in:
- Immediate suspension of work
- Suspension of access to unpaid deliverables
- Delay in project delivery
- Termination of the service relationship
- Submission of project records, communication, invoices, approvals, and deliverables to the payment provider as evidence
We maintain records of project communication, payments, approvals, files, and delivered work to protect both parties.
Unauthorized or false chargebacks may be treated as a breach of our agreement.
14. Cancellation of Services
You may request to cancel a project or service by contacting us in writing.
If a project is cancelled:
- Work completed up to the cancellation date remains billable
- Deposits are generally non-refundable
- Third-party costs are non-refundable
- Unpaid work remains the property of Berankify LTD
- Final files, source code, or access may be withheld until outstanding balances are paid
Cancellation does not remove your responsibility to pay for work already completed or costs already incurred.
